Elementary Office Administrative Assistant (OAA) Location Fort Smith, AR :
Position Description POSITION TITLE: Elementary Office Administrative Assistant (OAA) FLSA: Non-Exempt REPORTS TO: Building Principal/Supervisor TERMS OF EMPLOYMENT: A full contract for this position is 208 days, with benefits as specified in employee contract. Contract will be prorated based on actual start date. LOCATIONS: Carnall Elementary School BEGINNING: December, 2025 QUALIFICATIONS - High school diploma required.
- Educational office training preferred.
- Strong computer skills and proficiency in Microsoft Office (Word, Excel, and PowerPoint).
- Use of 10-key calculator by touch; accuracy with numbers.
- Highly motivated with strong organizational skills.
- Effective interpersonal and organizational skills.
- Must have the ability to lift at least 40 pounds occasionally.
- Ability to endure prolonged standing, walking, sitting, kneeling, occasional reaching above the head or the shoulders, bending, squatting.

ESSENTIAL JOB FUNCTIONS - Prepare requisitions for orders.
- Assist with the scheduling and management of the principal's appointment calendar.
- Check in/out all substitute teachers.
- Monitor attendance for employees and students.
- Prepare monthly emergency drill reports.
- Prepare daily receipts and deposits; reconcile monthly expenditure reports.
- Open, sort, and distribute interoffice and regular mail.
- Prepare items for teacher orientation and teacher handbook.
- Monitor copy and fax machines, and telephones, place service calls as necessary.
- Coordinate events, preparation of registration, Parent Orientation, and Parent/Teacher Conferences.
- Input data for recordkeeping in multiple software systems.
- Ability to produce brochures, handbooks, notebooks, flyers, and meeting agendas.
- Type principal's correspondence, reports, process evaluations, do general filing and typing.
- Maintain principals appointment calendar.

OTHER JOB RESPONSIBILITIES - Answer phone, receive messages, and respond to inquiries by staff, parents, or patrons of the district.
- Work with administrators.
- Assist in preparation of building Crisis Response Manual and staff emergency phone list.
- Sort and distribute mail and deliveries.
- Collect money for student fines, clubs, classes, fundraisers, etc.
- Process collection of returned checks.
- Attend meetings/trainings as required by administration.
- Work additional hours as directed.
- Other duties as assigned by administration.
- Maintain confidentiality.
- Present and communicate in a professional manner.
- Maintain building directory and Parent Link.
